How to digitize cemetery records
Ledgers, index cards, and a spreadsheet somebody started in 2009 — a working order for getting decades of interment records into something searchable.
Most cemeteries did not decide to keep records badly. They kept them the way everyone did — a bound ledger, then index cards, then a spreadsheet somebody started in 2009 and stopped updating in 2014, then a software package bought in a hurry. The result is that the information exists and is nearly impossible to search.
Here is an order of work that gets you out of that without stopping the day job.
1. Find out what you actually have
Before anything is typed, inventory the sources. In a typical office that means some combination of:
- Bound interment ledgers, often the oldest and most authoritative record
- Index cards, usually by surname, sometimes by section
- Plot or lot cards recording who owns the ground, which is a different question from who is buried in it
- A section map, frequently annotated by hand over decades
- Spreadsheets, plural, in disagreement
- Deeds, contracts, and permits in a filing cabinet
Write down which of these you would believe if two of them disagreed. That ranking matters more than anything else you do in this project, because they will disagree, and you will need a rule that is not decided fresh each time by whoever happens to be at the desk.
At Mountain View in Mesa, the ledgers go back to 1951 and are hand-written. When the ledger and a later spreadsheet disagree, the ledger wins — unless a family produced a death certificate, which beats both.
2. Capture images before you type anything
Photograph or scan every page of every ledger and every card before transcription starts. This is the single most valuable hour you will spend, for two reasons. First, the paper is the only irreplaceable thing in the building; a scan is insurance against a burst pipe. Second, transcription errors are inevitable, and being able to go back to the image without pulling the ledger off the shelf is what makes them fixable.
A phone camera on a copy stand is fine. Consistent lighting matters more
than megapixels. Name files so the page number is recoverable

3. Decide the minimum record
The temptation is to capture everything. Resist it on the first pass. A searchable record needs remarkably little:
- Name, exactly as written, including the spelling you think is wrong
- Date of death, or date of interment if that is what the ledger gives you — and a field recording which it is
- Location: section, block, lot, space, in whatever vocabulary your cemetery actually uses
- Source: which ledger and which page this came from
Date of birth, veteran status, funeral home, and lot ownership are all worth having. None of them are worth delaying a searchable index for. Add them on a second pass.
Record the name as written
The instinct is to correct spellings during transcription. Do not. A family searching for a great-grandmother often searches the spelling on the paperwork, not the correct one. Keep the original in one field and put corrections in another, so both are searchable and you never lose the evidence of what the ledger said.
4. Transcribe in sections, not chronologically
Work through one section of the cemetery at a time rather than one ledger at a time. Sections give you something usable much sooner: when Section C is done, families asking about Section C can be answered, and you can check the transcription against the actual ground by walking it.
Chronological order gives you nothing usable until you finish.
5. Expect the errors, and plan for them
Every cemetery's records contain errors. Hand-written dates get transposed. Two people with the same name get merged. A plot gets recorded when it is sold and never updated when it is used by someone else. On a recent audit of roughly 23,000 records at one Arizona cemetery, several hundred had a date of death recorded after the date of the funeral — a physically impossible combination that had sat unnoticed for decades because nobody had ever been able to look at all the records at once.
That is not an indictment of the office. It is what happens to any dataset that large kept by hand. But it means two things for your project:
- Digitizing will surface errors. Budget time for that, and decide in advance who is allowed to resolve them.
- Families are your best proofreaders. Once records are searchable, relatives start finding mistakes you never could — they have the death certificate in a drawer. A way for them to report a correction, and a person on your side who approves or rejects it, turns the crowd into an asset instead of a liability.
6. Tie records to the ground
A searchable name list is useful. A searchable name list that puts a family in front of the right marker is a different thing entirely, and it is the point of the whole exercise.
That means the location vocabulary in your records has to correspond to something real and findable outdoors. If your ledger says "Sec C, Blk 4, Lot 12, Sp 2", someone standing in Section C has to be able to work out where that is. Options run from a hand-drawn map photographed and labelled, through GPS points taken at section corners, up to a full aerial capture where every marker is visible and positions can be read directly off the image.
7. Keep it alive
The failure mode for digitization projects is not the project. It is month fourteen, when new interments are being written in the ledger again because updating two places is annoying. Whatever system you land on has to be the place the record is created, not a copy that has to be maintained.

The numbers that surprise people are in the right-hand column. Typing names is the easy part and always finishes. Working out where everyone actually is, and which record to believe, is where these projects live or die.
