How to map a small cemetery with volunteers
For church, township, and pioneer grounds with no budget and three people who care. A method that produces something real.
This is written for the church, township, and pioneer cemeteries that have no budget, no staff, and two or three people who care enough to spend Saturdays on it. The method below produces something genuinely useful and can be done with a phone, a notebook, and a measuring tape.
We sell cemetery capture for a living, and we will say plainly: if your cemetery has fewer than a thousand graves and a willing volunteer, you do not need to buy anything to get most of the value.
Before you start: agree what "done" means
The commonest way these projects fail is scope. Decide up front which of these you are producing, because they are very different amounts of work:
- A name index. Who is buried here, searchable. Most valuable per hour spent.
- A name index with sections. Adds roughly where each person is. Enough for a visitor to find a grave with a little walking.
- A full plot map. Every grave positioned. Substantially more work, and the only version that helps with unsold ground.
Do them in that order and stop whenever you run out of energy. Each one is useful on its own.
Step 1: Divide the ground
Walk the cemetery and break it into sections that are obvious on the ground — a path, a fence line, a row of trees. If historical section names exist, use them even if they are illogical, because they will match the paperwork.
Sketch the sections on paper. Photograph the sketch. This becomes the master map and it does not need to be to scale.
Step 2: Number the rows, physically
Within a section, establish a row and position convention and write it down in one sentence: "Rows run north to south, numbered from the fence; positions run west to east, numbered from the path."
Ambiguity here costs more later than any other decision. Two volunteers using opposite conventions produce data that cannot be merged.
Mark the corners before you photograph
Put a temporary marker — a flag, a painted stake — at each section corner and at the start of each row. It costs an hour and it saves every later argument about which row a photograph came from.
Step 3: Photograph every marker, in order
Walk each row in the direction you defined and photograph every marker in sequence, including blanks and unmarked spaces. Keep the phone's location services on: each photograph then carries a GPS coordinate, which is a rough position for free.
Practical notes from people who have done this:
- Overcast days beat sunny ones. Direct sun creates contrast that makes worn lettering unreadable.
- Shoot square to the stone, filling the frame. Angled photographs are hard to read later.
- Take a second photo of anything difficult from a low angle. Raking light picks up carving the flat view loses.
- Photograph a row marker at the start of each row so the sequence is self-documenting.
- Do not clean stones to make them photograph better. The National Park Service’s conservation guidance is specific: no bleach, no vinegar, no acids, no pressure washing above 500 psi, and no power tools or wire brushes — all of which strip granules off weathered marble permanently. What is permitted is water, a soft natural-bristle brush, and an approved biocidal cleaner such as D/2, no more than once every several years. If in doubt, photograph it dirty. A dirty stone is recoverable; a scoured one is not.
Step 4: Transcribe from the photographs, not in the field
Standing in a cemetery squinting at a stone is slow and error-prone. Sit down with the photographs, zoom in, and type. Two people transcribing the same row independently and comparing results catches a remarkable number of errors, and is more fun than it sounds.
For each marker record: name as carved, dates as carved, section, row, position, the photo filename, and a confidence note where you are guessing.
Step 5: Handle what you cannot read
Every old cemetery has stones that are simply gone. Record them anyway:
- Illegible marker — a stone is there, the text is not recoverable
- Partial — record what is certain and mark the rest unknown, e.g. "MAR— —ON, d. 189?"
- Depression, no marker — visible sunken ground, likely a grave
- Known burial, no marker — from records, not visible on the ground
These are real data. A researcher who knows a stone is illegible learns something; a gap in your list tells them nothing at all.
Step 6: Reconcile against whatever records exist
Church minute books, township burial permits, funeral home ledgers, county death records, and old newspaper notices. Names in the records but not on the ground are usually unmarked graves. Names on the ground but not in the records usually mean the records are incomplete, not that the stone is wrong.
Step 7: Put it somewhere people can find it
A spreadsheet on one volunteer's laptop helps nobody. At minimum, get the index somewhere public and searchable — a page on the church or township website, or the local historical or genealogical society, who are usually delighted and often have hosting already.
Give the photographs to the same place. They are the most durable thing you have produced, and in twenty years several of those stones will be less legible than your picture of them.

A 600-grave cemetery is therefore a handful of Saturdays for a small group. A 5,000-grave cemetery is a multi-year volunteer commitment, and that is the point where outside help starts to be worth its cost.
Where paying for it does help
Being honest about our own trade: outside capture earns its keep when the grounds are large enough that volunteer photography would take years, when positional accuracy matters because you are selling ground, when tree cover or flat sunken markers defeat a phone camera, or when there is nobody left with the time. Below that, the method above is not a poor substitute — it is the right answer.
